Inbox Check · free, from one mailbox export
Where your team's week actually goes, from your own mailbox. Which threads should have been a phone call, how long people wait to hear back, and what it is costing you.
One file per person, or several at once. It is read here on your machine, so nothing is uploaded and there is no account, no sign-in and no permission for anyone to grant.
1. If you are on New Outlook, switch it off first. There is a New Outlook toggle in the top right corner. Turn it off. New Outlook cannot export at all, so without this the menu below simply is not there.
2. Then: File → Open & Export → Import/Export → Export to a file → Comma Separated Values → choose the mailbox.
3. Before you press Finish, click Map Custom Fields. Outlook leaves the date out of a CSV unless you ask for it. Drag Received and Sent across to the right hand side, then Finish. Miss this and the file still looks fine, but every timing figure in the report will be blank, because there is nothing in it to measure. If that happens this page will tell you rather than pretend.
3. Pick the mailbox at the very top, and tick include subfolders. That takes everything: Inbox, Sent Items, every folder they have filed things into, and Deleted Items. If you only export the Inbox you lose everything filed away and everything sent, and the numbers come out far too low.
One thing that will skew it. If someone deletes as they go and empties Deleted Items, that mail is gone and cannot be counted. The report will understate their load, sometimes badly. Worth asking before you read too much into a low number.
Delete the export afterwards. It holds your client correspondence and has no reason to sit in Downloads.
Go to takeout.google.com, click Deselect all, tick Mail, then Next step and Create export.
Google does not give it to you straight away. It emails a download link when the export is built, which is usually a few hours and can be up to two days for a large mailbox. Start it now and come back to this page when the link arrives. The link expires after a week.
What arrives is a .zip. Open it and the file you want is All mail Including Spam and Trash.mbox. Drag that straight onto the box above, there is nothing to convert.

Everything is costed at 6 minutes an email, 8 minutes a call and £18 an hour. Those come from what we see in agencies rather than a textbook, and they are deliberately conservative. Six minutes a message is on the low side once you count reading, thinking and the interruption either side, so if anything the totals below understate it. £18 an hour is a property manager on roughly £30k once employment costs are added.
The domain is how it tells your own team's email apart from your clients'. It is picked up from the files automatically, so only change it if the line above looks wrong.
